Payment & Space Reservation

Half down or full payment is required to hold your space. Booths are assigned on a first-come, first-served basis.

The event hours are:

• Saturday: 10 AM – 6 PM
• Sunday: 10 AM – 5 PM

No early breakdowns are allowed. Vendors must be at their booth and ready by 9:45 AM BOTH MORNINGS, with no exceptions.

Final payment is due by November 14th, 2024. Any payments made after this date will incur a $25 late fee. No refunds or cancellations will be allowed at the discretion of the event coordinator.

Each booth comes with the following:

• 1 8ft table
• 2 Folding Chairs
• 2 Name Tags for the booth staff.

Additional tables, chairs, and tags are available for rental during the application process.

All booth workers must sign this agreement. I agree to sell only the products or services listed in my booth description. I will not hold any event-related parties legally responsible for any loss, including but not limited to COVID-19, natural disasters, theft, or injury. This includes:

• Gwinnett County Fairgrounds
• Peace of Mind Expo
• Breathe Deep LLC
• Sara Hartman, Nancy Hartman, and any affiliated persons or entities

My organization carries all necessary insurance and licenses, including tax licenses specific to my business.

Eligibility

The event reserves the right to determine the eligibility of exhibitors and their products/services. We also reserve the right to assign booth locations, layout, and lecture/workshop schedules.

Booth Sharing/Subletting

Booth sharing or subletting is not permitted. All personnel must represent the same legal business entity.

Food & Beverage

Exhibitors are not permitted to sell food or beverages without prior approval. Exhibitors offering samples must provide a trash receptacle at their booth. A food truck will be on-site.

Security

Exhibitors are responsible for the safety and security of their belongings and valuables.

Personal Appearance

This is a family-friendly event, so exhibitors must dress appropriately in business casual or better. Name badges (provided) must be worn at all times.

Booth Signage & Appearance

Professional signage is required. Exhibitors must provide signage that identifies their organization, products, and services. Signs may be attached to draping or your tablecloths.

Booth Setup

Setup begins on Friday, December 13, 2024. Exhibitors must be fully set up and at their booths 15 minutes before the festival starts each day.

Booth Tear Down

Tear down may begin after 5 PM on Sunday. Booths must be cleared within two hours of the event’s conclusion.

Health & Safety

No animals (except service animals) are allowed. No smoking indoors. Electrical panels and exits must not be obstructed.

Handling Payments

Exhibitors are responsible for collecting payments for their products/services. Make sure to have enough cash for change. There may be an ATM on-site, but this is not guaranteed.

Floor Plan & Booth Assignments

The event reserves the right to adjust the floor plan or reassign booth locations until the day before the expo. Booth placement requests are not guaranteed.

Insurance & Legal Responsibilities

Exhibitors are responsible for obtaining permits, licenses, and insurance and paying applicable taxes.

Acceptable Use of Exhibit Space

Aggressive sales tactics and recruiting are prohibited. No volume-enhancing devices, and no open flames are allowed. Complaints about noise or smells may result in cessation of the activity.

Support Personnel

All personnel working the booth must represent the same legal business entity.
